Mail scanning vs mail forwarding: which is right for your business?

You can work from anywhere, but business letters still need somewhere to go. The right mail service depends on how you want to access your mail: as digital copies, physical originals, or both.

Mail scanning gives you a digital copy. Mail forwarding sends the physical post onwards. A combined package gives you both. Here’s how to choose around the way your business works.

Three ways to make the decision

“I travel or work away from my business address.”

Scanning is a useful starting point if you want access to your business mail wherever you are. A founder working overseas or a consultant moving between projects can receive scanned correspondence by email, without waiting for physical post to reach a forwarding address.

“I mainly want the original paperwork.”

Forwarding makes sense if handling the physical letter is what matters to you. It may suit a business that keeps paper records or regularly needs originals at another address.

CVH’s Mail Forwarding package sends physical post onwards via Royal Mail. Postage is charged separately, so include that when comparing the overall cost.

“I need digital access and the originals.”

A combined service suits a business that wants remote access to its mail as well as delivery of the physical originals. CVH’s Combo package provides both scanning and forwarding.

You don’t need to choose the most comprehensive package automatically. Start with what you use in practice. If digital copies meet your needs, scanning may be the better fit; if you regularly need originals too, compare the combined option.

Check what “mail scanning” actually includes

When comparing providers, ask whether scanning means an image of the envelope or the contents of the letter. Those solve different problems: one shows what has arrived; the other gives you access to the contents.

Package names alone won’t tell you everything. Check whether a forwarding plan includes scans, and whether a scanning plan includes physical forwarding. At CVH, these are separate packages, with Combo available when you want both.

Compare the full cost, not just the headline price

The monthly packages are month-to-month. Annual packages are billed yearly and provide 12 months for the price of 10. All three include a London W1 business address and registered-address service. Forwarding postage is extra.

Before choosing any provider, check:

  • What post is covered? Check that the service handles the business correspondence you expect to receive.
  • What is included in the price? Compare VAT, postage and any separate scanning charges.
  • What are the billing terms? A monthly equivalent paid upfront for a year is different from a monthly subscription.
  • Does the service fit your mail volume? Review the allowances and conditions. CVH’s are set out in our Terms and Conditions.
