How to access your business mail while travelling

Your business can keep moving while you are away. Its post needs a plan of its own. Whether you are on location, visiting clients or taking a holiday, getting access to your business mail means you can decide what needs attention without waiting to get home.

For a UK-based owner who travels, the useful question is not just where the post will arrive. It is who will see it, who will act on it and where any original documents need to go. A little preparation before departure makes those decisions much easier.

Start with what you need while you are away

Look at the post your business has received recently. Which items needed a response? Which could be dealt with using a digital copy? Which required the paper original? Use those examples to choose an arrangement that fits your next trip.

For a short, one-off absence, a trusted colleague at your existing address may be enough. If you travel regularly, work alone or want a consistent business address beyond the trip, a dedicated mail service may be a better fit.

Before you travel: get the route and responsibilities clear

Check where important post is actually being sent

Make a short list of the organisations that send you business post and the address each one holds. An invoice going to your home and a supplier letter going to an old office will not reach a new mail service simply because you have signed up.

While you are away: turn incoming mail into a short routine

Choose a regular moment to check for business correspondence, or agree when your nominated colleague will do it. Make sure you can access the email account receiving your scans before you leave.

  • Check what needs action. Note any response date and decide whether you will handle it or pass it to someone else.
  • Keep track of the handover. Record who is dealing with each outstanding item, so forwarding an email does not become the end of the process.
  • Flag originals when they matter. If a scanned document needs to reach you on paper, contact the CVH team when you receive the scan to discuss the arrangement. Do not leave the request until your return.
  • Confirm changes of destination. If your plans move on, speak to the team before expecting physical mail to follow you to a new address.

For example, a consultant spending two weeks with a client might use emailed scans to keep on top of correspondence, while a colleague at their usual base handles any paper documents. The right arrangement follows how the business works, rather than asking physical post to keep up with every change of location.

When you return: close the loop

Review the items that arrived while you were away. Check that replies were sent, documents reached the right person and anything delegated is complete. Confirm whether any temporary forwarding arrangement needs to change.

Then consider the next trip. If you travel regularly, a consistent business address and a routine for accessing mail can save you making a fresh arrangement each time. If this was a one-off need, check your subscription and notice terms before making changes.
