A London business address when you live overseas

Running a UK company from overseas is easier when your business has a reliable place for its post. A London business address can give customers and suppliers a consistent contact point, while mail scanning gives you access to correspondence without a trip to collect it.

This guide is for owners and directors who live overseas and run, or plan to form, a UK company. Start with how the service will fit your business: which address uses you need, how you want to receive your mail and whether the arrangement works for your company and location.

Start with where your company is registered

If you run a UK limited company, living abroad and having a UK registered office are separate questions. GOV.UK confirms that directors do not have to live in the UK, although the company needs a UK registered office.

That address must meet the registered-office requirements, and you need permission to use a provider’s address. Its location must also fit the company’s registration jurisdiction: a London address is not a replacement for every registered office elsewhere in the UK. A company incorporated outside the UK is a different case. Tell the provider where it is registered and what you want the address for. Make everyday mail easy to access from abroad

Think beyond the address on the company register. Will customers, suppliers and other business contacts also send post there? A service that covers ordinary business correspondence can give you one place to receive those items, rather than making separate arrangements for each sender.

Scanning can be useful when you mainly need access to the contents. The provider opens the business letter, scans it and sends you a digital copy. You can then see what has arrived and decide what needs your attention without waiting for the original to reach you overseas.

Decide where physical originals need to go

Some documents may still need to reach you on paper. Before choosing a forwarding or combined package, confirm the destination, available delivery arrangements and postage costs with the provider. Do not assume that every plan or destination is supported in the same way.

It may suit your business to receive digital copies overseas and have originals sent to an agreed UK address. Or you may need originals at your overseas address. Explain that requirement before signing up so the service and any additional costs are clear.

If a document is time-sensitive, check the delivery options rather than relying on a general mail-handling description. Scanning and postal delivery are different stages; neither should be treated as a guarantee that a deadline will be met.

Keep address use separate from banking and tax decisions

A mail service gives you a way to receive business correspondence. If a bank or payment provider asks where you live or where the business actually operates, give the correct information and check which address it accepts for each purpose. A virtual office subscription does not guarantee an account or replace a residential address.

Tax treatment is also a separate question when you manage a business across countries. For example, UK Corporation Tax treatment distinguishes companies resident in the UK from those that are not. A mailing address alone does not resolve your position. Discuss the company’s circumstances with an adviser who understands the relevant countries.

  • Your company: where it is registered, what it does and whether it already exists or is being formed.
  • Your address needs: business correspondence, registered-office use and any director service addresses.

Ask what information and identity documents are required, and when the provider will confirm that you can use the address. Arrange permission before putting it on company records or giving it to senders. If you are forming a UK company, its registered office must be in place before incorporation.
